What we keep, and why.

1. Who we are
PutCaption (“we”, “us”) provides automatic captions for video. This policy explains what personal data we process when you use putcaption.com and why. Questions: hello@putcaption.com.
2. What we collect
- Account data: name, email address and a hashed password. We never store the password itself.
- Your uploads: the video or audio files you upload, the thumbnails and audio track we derive from them, the transcript, your caption edits and styles, and the exported files.
- Usage data: project count, minutes of video processed, plan and payment-request details (plan, amount, the transaction reference you enter). We do not store card numbers or bank credentials.
- Technical data: server logs with IP address, browser type and timestamps, kept for security and debugging for up to 30 days.
- Messages: anything you send through the contact form, so we can reply.
3. How transcription works
To turn speech into text we send the audio track only (never the video frames) to a third-party speech-to-text provider (currently AssemblyAI or ElevenLabs, depending on configuration). They process it to return the transcript and may retain it briefly for processing; we do not permit them to use it for other purposes. When you translate captions, the caption text is sent to a translation provider. Nothing else about you is sent with it.
4. How we use data
To provide the service (transcribe, render, store your projects), to keep your account secure, to activate plans you request, to answer support messages and to understand aggregate usage. We do not sell personal data and we do not run third-party advertising or analytics trackers on the app.
5. Where data lives
Account and project metadata are stored in a managed PostgreSQL database (Supabase). Uploaded and exported files are stored on the PutCaption server. Data may be processed in India, the EU or the US depending on the provider.
6. Retention and deletion
Projects stay until you delete them. Deleting a project removes the file, audio, thumbnails and exports at once. Deleting your account (Settings → Delete account) removes everything you own. Contact messages are kept until you ask us to delete them.
7. Cookies
We use one strictly necessary cookie to keep you signed in and small browser storage entries for interface preferences. See the Cookie Policy.
8. Your rights
You can access, correct, export (SRT/VTT/TXT and MP4) and delete your data from inside the app at any time. For anything else, email hello@putcaption.com and we will act within 30 days. If you are in the EU/UK you also have the right to complain to your data protection authority.
9. Children
PutCaption is not directed at children under 13 and we do not knowingly collect their data.
10. Changes
If this policy changes in a way that matters, we will email registered users before it takes effect.
